Thank you for choosing Off The Beaten Path! Please read these Terms & Conditions carefully before confirming your booking with us. By paying your deposit, you agree to the following:

1. Booking Process

All inquiries are non-binding and do not guarantee a seat until a deposit is received and confirmed in writing. Trip availability is on a first-come, first-served basis. A booking is only confirmed once the client has selected a destination, agreed to travel dates, and paid the required deposit.

2. Deposits & Payments

A minimum deposit is required to secure your place. This amount varies per trip and is indicated on the relevant trip flyer or quote.

Payment plans are available. Monthly payments must be completed:

  • 1 month before departure for trips under R15,000.
  • 3 months before departure for trips over R15,000 or international packages.

At least 50% of the total trip amount must be paid by the halfway point of your payment schedule. All payments must be made via EFT to the official Off The Beaten Path bank account.

3. Proof of Payment & Communication

Proof of payment (POP) must be sent via WhatsApp after each payment. Payment status will only be updated once POP is received. You will be added to a WhatsApp group for your trip after your initial payment is confirmed. This group is used for official communication.

4. Travel Documents

You are required to submit a copy of your ID or passport:

  • After your second payment, or
  • Before your final installment, whichever comes first.

It is your responsibility to ensure your passport is valid (at least 6 months post-trip) and that all visa requirements are met.

5. Itinerary & Travel Information

A detailed travel itinerary will be shared 1–2 months prior to departure and will include accommodation details, transport arrangements, and planned activities. Off The Beaten Path reserves the right to adjust the itinerary due to unforeseen circumstances (e.g., weather, flight changes, supplier issues) with notice to the traveler.

6. Cancellations & Refund Policy

Deposits are non-refundable.

If you cancel your trip:

  • Each trip may have its own specific cancellation terms.
  • If you cancel at least 1 month in advance, you may request a partial or full refund for consideration.
  • Refunds depend on the timing and third-party supplier policies.
  • We will attempt to recover as much as possible but full recovery is not guaranteed.

If Off The Beaten Path cancels a trip (due to low participation or other unavoidable circumstances), a full refund or credit toward another trip will be offered.

7. Cooling-Off Period (CPA)

In accordance with the Consumer Protection Act (CPA), if your booking was made via direct marketing (e.g., WhatsApp), you have the right to cancel within 5 business days of confirming your booking for a full refund, provided no services have been rendered.

8. Travel Insurance

Travel insurance is highly recommended, especially for international trips. This covers you in case of illness, cancellation, or emergencies.

9. Behavior & Responsibilities

Respectful behavior is expected from all travelers. Disruptive or unsafe behavior may result in removal from the group at your own cost. You are responsible for your personal belongings. Off The Beaten Path is not liable for lost, stolen, or damaged property.

10. Data Privacy (POPIA)

We comply with the Protection of Personal Information Act (POPIA). Your personal data will only be used for trip-related services and communication. It will not be shared with third parties except where necessary (e.g., hotels, airlines).

11. Waiver of Liability

All trips are undertaken at your own risk. Off The Beaten Path is not liable for injury, illness, delays, cancellations, or losses due to third-party providers or events beyond our control (e.g., natural disasters, political unrest). Clients should obtain their own travel insurance.

12. Consent to Media

By joining a trip, you consent to being photographed or filmed. These materials may be used for marketing purposes unless you request otherwise in writing.
